Refund & Cancellation Policy

This Refund & Cancellation Policy explains how refunds, cancellations, and termination fees are handled for Code‑Flux services.

Important: Most Code‑Flux services are bespoke, time‑based, and/or digital services provided to businesses. Once work starts, time and capacity are committed and we cannot resell that time.

1. Definitions

  • Fixed‑fee project: a defined scope project (e.g., website build) with an upfront or milestone schedule.
  • Retainer: recurring monthly service (e.g., SEO, maintenance, ongoing optimisation).
  • Start date: the date we begin work, including planning, setup, research, or access configuration.

2. Deposits & Upfront Payments

  • Deposits and upfront payments are non‑refundable once work has started.
  • If you cancel before the start date, we may refund amounts paid minus any committed costs (e.g., third‑party purchases) and reasonable admin time.

3. Fixed‑Fee Projects

  • If you terminate a fixed‑fee project after work has started, you remain responsible for fees for work completed to date and any committed third‑party costs.
  • Where milestones are used, milestones already started are payable in full.

4. Monthly Retainers

  • Monthly retainers can be terminated with 30 days’ written notice unless your SOW states otherwise.
  • Fees already paid for the current billing period are non‑refundable.
  • If notice is given part‑way through a billing period, the retainer remains payable through the end of the notice period.

5. Chargebacks & Disputed Payments

  • If you raise a chargeback or payment dispute without first contacting us, we may suspend services while the dispute is investigated.
  • Where a chargeback is resolved in our favour, you agree to reimburse fees and any associated costs.

6. Consumer Rights (If You Contract as a Consumer)

If you are a consumer (not acting for business purposes), you may have a 14‑day cooling‑off right for distance contracts under the Consumer Contracts Regulations 2013. However, where you request that we start providing digital services immediately, you may lose the right to cancel once performance begins.

7. How to Cancel

To cancel, email info@code-flux.co.uk with your business name, service, and the reason for cancellation (optional). We will confirm receipt and next steps.
